Networking and Client Appreciation Events: How Much to Pour for 100 Guests

A networking night or a client appreciation event is a different animal from a wedding. People arrive in waves, they stand and talk, they hold a drink for a long time, and then they leave when the conversation runs out. Planning the bar for that kind of event takes different numbers from a seated dinner. If you are organising event bar services for around 100 guests, this guide shows how we work out quantities, staffing and menu so the drinks support the evening instead of running out halfway.

Why Networking Events Pour Differently

At a wedding, we plan on roughly two cocktails per guest, because the event is long and drinking is part of the celebration. A networking event is usually shorter, guests are circulating and holding conversations, and many people sip slowly or only have one or two drinks.

That means the numbers are lower. For a networking event, our working rule is about 75 portions of each of two cocktails for every 100 guests. That is 150 cocktail portions in total, or about 1.5 per guest, with beer, wine and mocktails sitting alongside. It is a practical starting point, not a promise, and it moves with the length of the event and the crowd.

A Worked Example for 100 Guests

Here is how that works in practice.

  • Cocktail A: 75 portions
  • Cocktail B: 75 portions
  • Total cocktail portions: 150

One standard bottle of the base spirit gives about 15 servings. So 75 portions of one cocktail needs about 5 bottles, and the two cocktails together need around 10 bottles of base spirit.

If you are bringing your own bottles, that is what you would buy for the two cocktails. Typical prices vary by brand, which is why we usually suggest a mid-range bottle. For tequila in a Margarita, a Jose Cuervo costs around $50 and a Don Julio around $75, so 5 bottles would cost roughly $250 to $375 depending on your choice. We also have an [event bar drink calculator guide](/articles/event-bar-drink-calculator-singapore) that works through the same arithmetic for other event types.

If your guest count is 50, halve the numbers. If it is 200, double them. The relationship is roughly linear.

Choose Two Cocktails, Not Five

For a networking crowd, two cocktails is the right number. A short menu keeps the line moving, makes the bartenders faster and cuts waste. It also keeps the conversation going, because guests spend less time reading a menu and more time talking.

A good pairing gives people a real choice. A Whisky Sour for guests who want something with body, and a Margarita or Tom Collins for guests who want something lighter, covers most palates. A Lychee Martini is a nice local option if you want something distinctive. Everything can be customised, so a Passionfruit Margarita is an easy way to put your own stamp on the menu.

Alongside the cocktails, include beer, wine and a proper mocktail. Networking crowds often include people who are driving or simply not drinking, and they should be part of the toast too.

Staffing a 100-Guest Event

Our staffing guide is simple. One bartender covers up to 30 guests when cocktails are on the menu, and two bartenders cover up to 200 guests with two cocktails. So a 100-guest event with two cocktails is well within what two bartenders can handle.

The reason to have two is the opening rush. Guests tend to arrive over 20 to 30 minutes and want a drink in hand almost immediately. To ease that, we prepare 5 to 10 portions ready to serve at the start, so the first arrivals are not waiting while drinks are made from scratch. Our guide on [one bartender versus a full team](/articles/one-bartender-or-full-team-singapore) explains the thinking in more detail.

Turning Drinks Into a Brand Moment

A client appreciation event is not only about drinks. It is a chance to make guests feel looked after. A signature cocktail named after your company, a product or a campaign gives people something memorable to talk about and photograph, and it costs little extra in effort beyond a conversation during menu planning.

If this is a bigger activation, our article on [bar strategy for a product launch or brand activation](/articles/product-launch-brand-activation-bar-strategy) looks at how to build the bar into the event itself.

Speeches and Pacing

Most networking events include a short welcome or thank-you from the host. We pause service during speeches out of respect for the speaker, and resume as soon as they finish. Time the speech after the initial rush, once most guests have a drink, so the pause does not hit a long queue.

Pacing matters in another way too. A good bartender reads the room and keeps a steady pace. For a professional event, you want guests relaxed and talking, not over-served. This is one of the advantages of a staffed bar over a self-serve table.

The Practical Checklist

For a 100-guest event, make sure these are in place. The full list is in our [bar event checklist](/articles/bar-event-checklist-singapore).

  • A sturdy, stain-proof table of 1.8m for bigger events, 1.2m at the minimum for smaller ones.
  • Ice ordered about three hours before, with at least two 50L iceboxes for a group this size.
  • Glassware of the right size, such as a 14oz / 350ml rock glass. Glassware rental is $100 for pickup and delivery plus $2 per glass, or you can use disposable glasses.
  • A shopping list followed exactly, so ingredients like lemons and limes are not mixed up.
  • Notice: two weeks is ideal and one week is the minimum.

We arrive about an hour before the event starts to set up, and we start a working clean-up about half an hour before the end. A full clean of the venue is chargeable.

What It Costs

Our Signature Package is $680 for up to 200 guests, which comfortably covers a 100-guest event, and the Intimate Party Package is $310 for 30 guests. The final quote depends on staffing and what you need on the day. Our [pricing guide](/articles/event-bar-services-pricing-singapore) explains each component.
