Ask three providers for a quote on event bar services and you will probably get three very different numbers. That is not always because one is cheaper or better. It is because each quote can be built from different pieces, with different things included and different things left for you to sort out. Comparing them properly means knowing what is inside each number.

This is a plain breakdown of how event bar pricing works, what our own packages cover, which extras you might pay for, and where the real savings are.

Why Quotes Vary So Much

Two quotes for the same guest count can differ for reasons that have nothing to do with drink quality on the night. The usual causes are how many bartenders are included, what ingredients are used, which items are bundled and which are billed separately, and what fees are added around the edges.

A quote that looks far lower than the others is worth a second look. It may be leaving out staffing, using cheaper mixes in place of authentic ingredients, or expecting you to source more of the setup yourself. A quote that looks higher may be bundling things the others charge for separately. The only reliable way to compare is to line up what is included in each.

The Building Blocks of an Event Bar Quote

Most event bar pricing comes down to five components.

1. Manpower. The bartenders themselves are the core of what you are paying for. Staffing needs to match the guest count and the menu, because an understaffed bar slows the whole event down.

2. Supplies. Cocktail-quality juices, syrups, garnishes and mixers. These are priced per batch rather than per drink, which is where a lot of the value sits.

3. Equipment. Bar tools, glassware, iceboxes and a table. Some of this the host arranges, and some can be supplied for a fee.

4. Transport. Getting people, supplies and any rented items to and from the venue.

5. Deposit. A booking commitment that locks in the date and the team.

Knowing which of these are in the price, and which are left to you, is most of the work of comparing quotes.

Fixed Packages vs. Per-Drink or Per-Hour Pricing

We price by fixed package rather than by the drink or the hour. The two packages are:

  • Intimate Party Package: $310, for up to 30 guests
  • Signature Package: $680, for up to 200 guests

A $50 non-refundable deposit per staff member confirms your booking.

The reason for a fixed package is predictability. When pricing climbs with every extra round or every extra hour, the final bill is hard to forecast, and that is a real problem for corporate teams who need a figure approved in advance, or couples who have locked their wedding budget months out. With a fixed package, the number you are quoted is the number you plan around.

Fees You Won't See on Our Quote

We are 100% mobile and do not run a warehouse. Most events can make do with a 1.8m table, so a portable bar structure is not something that needs to be rented or hauled in. Not carrying that overhead changes what we need to charge for.

That is why our quotes do not include:

  • An event management fee
  • A bar equipment rental fee
  • An admin fee

These are line items you may come across elsewhere. Because we do not run the operation that creates them, we do not add them, and the saving goes to the client.

Optional Add-Ons

A few items sit outside the package, and they are all optional and priced plainly.

BYOB: Where the Biggest Savings Are

Bringing your own bottles is welcome at no extra charge, with no corkage fee. For many events this is the single biggest lever on the total cost.

Here is the Margarita as an example. Tequila typically costs around $50 for a bottle of Jose Cuervo or about $75 for Don Julio, and one bottle gives roughly 15 servings. The bar-supplied mixers for a Margarita, meaning lime juice, sugar syrup and lime wheels, come to roughly $0.77 per serving.

For 100 Margaritas, that works out to about seven bottles of tequila plus around $95 of mixers and garnish:

  • With Jose Cuervo: roughly $445, or about $4.45 per drink
  • With Don Julio: roughly $620, or about $6.20 per drink

Those figures are before triple sec. At a bar charging $20 per portion plus GST and service charge, the same 100 Margaritas would cost in the region of $2,400. Even allowing for the triple sec, the gap is large.

Budgeting by Guest Count

A rough working method is enough to get you started.

  • Weddings and general receptions: plan for two cocktails per guest, one from each menu. For 100 guests that is 200 portions.
  • Networking events: people tend to drink slightly less. For 100 guests, two signature cocktails at around 75 portions each is typically enough.
  • Bottles: one bottle gives about 15 servings, so divide your portions by 15 and round up.

How to Compare Quotes Properly

When you have two or three quotes side by side, put the same questions to each.

1. How many bartenders are included for my guest count?

2. Are the ingredients authentic, or are sweetened or pre-made mixes used?

3. What is included in the price, and what do I arrange or pay for separately?

4. Are there management, equipment or admin fees on top?

5. Is there a corkage charge if I bring my own bottles?

6. How much notice do you need, and what happens if something changes?

The cheapest number is not always the cheapest event. A quote that is missing staff, cuts corners on ingredients, or adds fees later can end up costing more than one that looked higher at the start.
